A customer is ready to book. Your team is in a meeting, on another call or out delivering the service. Asking that person to call back creates another step between interest and an appointment.
AYWA can check a connected calendar, offer an available time and create the appointment during the conversation. The caller explains what they need, chooses a slot and gets a response based on your actual availability.
Make the phone a convenient way to book
People rarely describe an appointment as a date alone. They ask about the service, explain a deadline or mention that they can only attend in the morning. A voice agent can collect that context while helping them choose a time.
Give the agent a specific job: book a sales consultation, a visit, a service appointment or an interview. Set the duration, the calendar and the information your team needs. Requests that require a special commitment can follow a separate handoff to a person.
Use the calendar your team already works with
AYWA connects to Google Calendar and Outlook/Microsoft 365. The selected calendar and account permissions determine which actions are available. Once availability lookup and appointment creation are configured, the agent can use them during a call.
Check availability in the authorised calendar.
Offer a time that fits the request.
Collect the accepted slot and relevant contact details.
Create the appointment and confirm it from the action’s result.
Calendar invitations and follow-up messages depend on your chosen configuration. The useful outcome is an appointment recorded where the team expects to find it, with enough information to prepare.
When the caller changes the time, the booking should follow
Illustrative scenario. A caller initially asks for a consultation on Friday. After hearing an option, they realise Thursday morning would work better.
The agent searches for availability matching the correction, checks that the revised slot is accepted and creates that appointment. You can assess the outcome directly in the calendar: correct date, duration and details.
If no offered time works, the journey can collect a callback request. If creation fails, the agent should use your fallback instead of announcing that the appointment is booked. That difference matters more than a fluent confirmation.
Tell the AYWA studio how your business books appointments
Start with a short description of the job: who calls, what they want and what the agent should arrange. AYWA’s studio prepares an initial agent configuration that you can refine with your knowledge, voice and connected tools.
Have four things ready: accepted appointment types, their durations, permitted booking hours and required details. Then add the exceptions the team should handle, such as urgent requests or a service outside the agent’s scope.
For customers in different locations, make the appointment time unambiguous. A caller and a team member in different time zones must agree on the same moment. Include the relevant time zone in the confirmation when the journey needs it.
Connect booking to the rest of the customer journey
A booking can follow lead qualification. When the CRM update is configured, sales can receive both the appointment and the context behind it: the need, scope and reason for speaking.
You can also run outbound appointment confirmation calls for existing bookings. Creating an appointment and confirming attendance are separate missions; choose the one that solves your current problem first.
Check the appointment, not just the conversation
Try a normal booking, a change of time and a request with no suitable availability. Open the calendar after each test. Check who receives the appointment and whether they have the details they need. Use those outcomes to shape your first AYWA pilot.
Frequently asked questions
Does the caller need to use a booking link?
A configured calendar journey can collect their choice on the phone. A booking link can remain another option if it suits your process.
Can the agent access every company calendar?
It uses the calendars authorised and selected for its mission. Connect the calendars that should actually receive these appointments.
